Every closed sale produces a policy record — the permanent record of what was written: carrier, coverage, premium, and who’s insured. Policy records are created automatically by the appointment outcome workflow when you record an Application Approved or Application Submitted outcome — you never fill out a separate policy form.

Policy Fields

Where Policies Show Up

On the Contact Profile

Insurance workspaces group contact fields into labeled sections: The Policy Info section always mirrors the latest policy, so the client’s current coverage is one glance away whenever you open their profile. The Record Outcome button sits right next to it — see Appointment Outcomes.

Policy Info vs. Policy Records

Think of it as two views of the same truth:
  • Policy records are the permanent history — one record per closed sale, capturing exactly what was written and which outcome produced it
  • Policy Info on the contact profile is the current snapshot — it always reflects the latest policy

Through Your AI Agent

Your AI agent can look up any client’s policy details on demand — ask it what carrier a client is with, what their face amount is, or when their draft date lands, and it answers from the policy record.
Before a service call, ask your agent for the client’s policy details — carrier, policy number, premium, draft date — and you’re prepped before you dial.

How Policies Connect to Everything Else

A policy record never stands alone:
  1. It starts with an outcome — recording an Application Approved or Submitted appointment outcome creates the policy
  2. It pairs with a sale — the same submit creates a sales-log entry with your commission calculated
  3. It can notify the client — the outcome form’s confirmation checkbox texts and emails the client their policy details
